What is the minimum group size or roster requirement to work with T.D.M.S.?

T.D.M.S. works with sports teams, coaches, clubs, families, and other groups with varying travel-party sizes. There is no standard roster size required to begin the $297 Initial Planning & Coordination service. We use your actual traveler count, lodging needs, transportation requirements, destination, and event details to research appropriate travel options.

Our concierge service is designed for groups requiring 10 or more hotel rooms or flights for 10+ travelers. Whether you manage a single competitive squad (12-18 athletes plus staff and parents) or an entire multi-team club program, our logistics system easily scales to your volume.

What is the turnaround time after submitting our team travel intake?

Once your $297 Initial Planning & Coordination fee and travel intake are received, T.D.M.S. begins reviewing your trip requirements. Research time varies based on destination, travel dates, group size, tournament requirements, supplier availability, and the complexity of the trip. We will communicate with you throughout the planning process and provide next-step options as they become available.

Once your $297 travel planning fee is processed and your team intake submission is completed, our desk delivers 2-3 vetted, fully-costed itinerary packages within 48 to 72 business hours. For complex multi-city or national championship itineraries, milestones are established upfront.

How does payment for actual airfare, lodging, and ground transport work?

The $297 fee covers T.D.M.S. professional travel research, planning, sourcing, and coordination services. Airfare, lodging, ground transportation, event fees, insurance, and other third-party travel costs are separate. Pricing, payment requirements, deposits, cancellation terms, and availability are determined by the applicable travel supplier and will be presented before you authorize a booking.

T.D.M.S. acts as your strategic logistics coordinator, not a marked-up reseller. The $297 concierge fee covers sourcing, contract negotiation, and booking administration. All actual airfare, hotel rooms, and charter invoices are settled directly with suppliers or through customized parent booking portals at net rates.

What happens if a tournament schedule changes or an event is canceled?

Contact T.D.M.S. as soon as you learn of a schedule change or cancellation. We will review the affected travel arrangements and help identify available next steps. Changes, cancellations, refunds, credits, penalties, and rebooking options are subject to the terms and policies of the airline, hotel, transportation company, event organizer, or other applicable supplier.

We negotiate favorable attrition rates, weather cancellation contingencies, and extended cutoff dates into hotel agreements whenever possible. If an event reschedules or cancelation occurs, our desk works directly with property directors to minimize cancellation fees and protect your team budget.
